It was the volume of information accompanying every stage of that work.

Every concrete pour, material delivery, installation and inspection generated another layer of evidence. Individually, those records were straightforward. Together, they formed the documentation needed to demonstrate compliance, support commercial processes and satisfy the rigorous requirements of a modern railway programme.

For Hamid and his team, that documentation could never become an afterthought.

An ITR, for example, is far more than confirmation that an inspection has taken place. It records what was inspected, who carried out the inspection, when it happened, the outcome, any supporting photographs or comments, and the approvals that follow. MIRs, NCRs and other quality records all contribute to the same picture, creating the evidence that allows work to move confidently from one stage to the next. That same information also becomes increasingly important as a railway moves towards operation. System assurance teams rely on complete, traceable records to demonstrate that assets are ready for passenger service, making quality documentation an essential part of the transition from construction to operation.

“People sometimes think an ITR is just an inspection record,” Hamid explains. “It isn’t. It supports approvals, payment processes and system assurance. Later, when the railway is preparing for operation, that information becomes extremely important.”

As inspection volumes increased, retrieving that evidence became just as important as capturing it.

Consultants needed to verify completed work. Commercial teams required supporting records before progressing payment applications. Project managers wanted to understand what had been inspected that day, while senior management needed an accurate picture of progress across multiple locations, often at very short notice. Construction itself, meanwhile, continued at pace.

The information already existed. The difficulty lay in producing the right evidence quickly enough to keep everyone else moving. On previous projects, Hamid estimates that maintaining the same level of control using manual processes would have required the equivalent of three or four people dedicated purely to document control. As inspection volumes increased, it became increasingly difficult to keep pace without digitising the process.

When hundreds of inspections are moving through a programme every day, finding a single approval among spreadsheets, emails and shared folders can take longer than carrying out the inspection itself. Engineers become administrators, document controllers spend their day responding to requests for information, and decisions begin waiting for paperwork instead of the other way around.

“If someone asked for information, you might need to search through different folders or spreadsheets before finding exactly what they wanted,” he says. “The information was there, but retrieving it could take time, especially when lots of inspections were happening at once.”

On projects operating around the clock, those delays quickly become more than an inconvenience. Consultants are waiting to review completed activities, commercial colleagues are preparing payment submissions, clients want progress updates and system assurance teams need evidence. All of those requests depend on the same underlying information, often at exactly the same time.

CRIG wasn’t looking to change its quality procedures. Engineers captured information as work happened, while consultants and managers could review the same records without waiting for paperwork to be assembled at the end of the day.

For Hamid, one of the most noticeable changes was the speed with which inspections could move through the approval process.

951,"“An engineer can raise an inspection from site and the notification is sent immediately.
